3. How We Use Your Information

- Regulatory Compliance: Populating the Acquisition Register as mandated by the South African Police Service (SAPS).
- Contractual Performance: Processing financial settlements, scheduling logistics, and issuing Chain-of-Custody documentation.
- Certification: Issuing Certificates of Destruction (COD) and Recycling Certificates that legally reference the asset owner.
- Communication: Responding to inquiries or sending transactional notifications (e.g., "Driver is on the way").
4. Data Destruction (The "Operator" Mandate)
A critical distinction in our service is our role regarding the data residing on the devices you send us (e.g., hard drives, servers, phones).
- J-Exchange acts as the "Operator" (as defined in POPIA).
- You remain the "Responsible Party" until the moment of certified destruction.
Our Guarantee: We accept full liability for the security of data-bearing devices from the moment of physical handover. All data is sanitized or shredded in a secure, access-controlled environment, and a Certificate of Destruction is issued to indemnify you.
5. Information Sharing & Cross-Border Transfers
Third-Party Disclosures
We do not sell your data. We share information only when legally compelled:
- SAPS: To the Designated Police Officer for Second-Hand Goods inspection.
- SAWIS (DFFE): Aggregated, non-identifiable volume data for national waste statistics.
Cross-Border Transfers
We may store your data on secure cloud servers (e.g., Email Hosting, CRM Backups) hosted outside South Africa. We ensure these service providers adhere to GDPR or similar data protection laws that offer protection equivalent to POPIA.
